Maintenance Programs

The Healthsmith Maintenance Programs are designed to provide its clients with on-going support that deliver periodic aid and review to ensure continued compliance with accreditation or other regulatory requirements. These programs are custom designed for the client and typically include the following:

1. Staff Training

The Healthsmith consultant creates and provides annual staff training in the applicable accreditation or compliance regulations.  This curriculum highlights all updates, clarifications, and version changes that have occurred in the past year in order to maintain staff’s knowledge and understanding of vital components for continued compliance.  This training is adapted to meet specific client needs and can be provided in person or via web-meeting by the Healthsmith consultant or employing a train-the-trainer process.  Training assessment and evaluation are also available if desired.

2. Document Review

On-going consultant support is provided to review any changes or edits that are made to policies, processes, program descriptions, reports, etc… to ensure documents continue to support accreditation and regulatory requirements.  Additionally, Core documents are reviewed annually in conjunction with the annual maintenance audit.

3. Annual Maintenance Audit Review

Each year Healthsmith recommends an annual on-site review that is conducted by the consultant to mimic the actual accreditation review.  This maintenance audit follows the review agenda including interviews with all key staff, file review (consumer/program files, HR, complaints, etc…), and review of key materials and reports.  Following this audit the consultant delivers a written support report including measureable compliance and audit scores. 

4. Compliance Maintenance Plan

All identified deficiencies from the annual maintenance audit are detailed and then compiled in the compliance maintenance plan.  This plan includes corrective action tasks to remedy all found issue, identification of responsible staff by role, and the projected target date for correction based on severity and related risk for the identified issue.  Healthsmith consultants provide on-going project management through the completion of the compliance plan.  

5. Re-Accreditation Application and Preparation

When the accreditation cycle nears renewal, the Healthsmith consultant provides assistance with application review and preparation, including document review, revision, and citation.  The consultant provides guidance throughout the application process with navigating the system, deliverables, and conferences with the accrediting body and review staff.   The consultant reviews the final application for adherence and completion and manages responses for any requests for information by the accrediting body.
